zeal portal  ·  what changed this weekend

our biggest
upgrade yet.

Zoho and TeamTrack are dead, and in their place we’ve unlocked the biggest integration the portal has ever had: the portal, your calendar and Teams now working as one system. The whole company is in it, so here’s the honest tour: what it does, what it can’t do, and what’s coming because of it.

a three-minute read. worth it.
the short version
how it works now

when you’re put on a project.

1

you’re assigned in the planner

Pencilled allocations are always visible in the portal, but only confirmed allocations land in your Outlook calendar.

2

it appears on your page in my area

Dates, project, ZP number.

3

it lands in your Outlook calendar by itself

One event covering the whole stretch.

4

the portal tells you

Confirmed, and it’s in your diary.

5

toggle me on the master planner

See everything of yours in one place.

how it works now

when you need time off.

1

my area → time off

Your balance is always there.

2

pick your dates

The portal counts them for you.

3

see who else in your department is already off or on a job

For those dates, before you ask.

4

your manager hears instantly

And gets one nudge a day while anything waits.

5

decided

You hear by email and Teams, and approved leave lands in your Outlook as “Off”, whatever kind of leave it is.

what it can and can’t see.

Every line here is literal and checkable. If any of it ever changes, this page changes first.

can’t
Show your personal details around. Passport, medical, dietary and emergency contact fields sit behind HR-only permissions, enforced at the database itself, colleagues never see them.
can’t
See your private events. Anything you mark private in Outlook stays private everywhere, for everyone, including admins. The portal stores no subject and no detail, it only knows you’re busy.
can’t
Tell colleagues why you’re off. Calendars say “Off” and nothing more. Requests and reasons are visible only to you, your manager and HR, the same people who saw them in Zoho.
does
Put your bookings and approved leave in your own diary, and read your calendar so the planner can show honest availability.
does
Message you when something needs you, and only then. The complete list is below, and anything new gets announced here first.

everything that sends, in full

Your requests and their outcomes reach you and your manager — requested, decided, recorded, booked, cancelled or withdrawn; one daily nudge to managers with waiting requests; a daily ZP-number note to PMs; and project confirmations to you. That is everything.

Who it comes from: email from Zeal Portal, Teams cards from Workflows (Microsoft’s name, not ours). Real, ours, safe to click.

one page per person.

Open anyone in people: profile, calendar, and, where it’s your business, time off. My area is simply your own page. What you can see depends on who you are, exactly as it should. Your certifications are yours to maintain there too, with an honest “pending” pill while a new date waits for confirmation.

set yourself up.

1. open your page and fill the gaps

Emergency contact, dietary bits, sizes. Two minutes that save someone chasing you on a show day.

2. check your balance is what you expect

It came from Zoho and it should be right to the half day, if it isn’t, say so.

3. glance at notifications

In your area, so you know where the feed lives, and trust the new senders: Zeal Portal in email, Workflows in Teams.

4. managers: your approvals queue

It now lives in your area, with a count badge, and the daily nudge keeps score until it’s clear.

it’s brand new, and new things have bugs

As with every new system, real-world use is the only way to truly find them. When something doesn’t look right or doesn’t work the way you expect, please tell Steve so we can fix it. Nothing is too small, and early is always better.

why this matters beyond holidays.

Everything above works because people, projects, bookings, calendars and messages now live in one connected place. That’s the point. Each thing the portal takes on makes the next one possible, and this weekend is the first real step towards the Zeal PA: an assistant that can genuinely help, brief you, chase loose ends, take admin off your plate, because it finally has one place to look.

what’s coming next.
